General Volunteers FAQ

Where do I check in for my shift?

Check in at the Volunteer Tent located close to Pottery Barn on Grand Avenue.  Please check-in 15 minutes prior to your assigned shift.

What should I wear?

Volunteers for Gatekeeper shifts will be exposed to weather so dress appropriately. Wear sun-protective clothing; bring sunscreen. Bring rain gear and umbrella if rain is forecast, Bottled water will be provided.

Can I bring my child with me
to volunteer?

Please do NOT bring young children to your assigned shift.  There are many Teen Volunteer opportunities if you have a teen interested in participating in the art festival. 

Will I receive a reminder of my shift location and time?

All volunteers that provided a cell phone number will receive a reminder text message. You will also receive an email reminder 3 days prior to your shift.

Are there special guidelines for volunteers serving alcohol?

Volunteers that serve alcohol may be required to attend a Texas Alcoholic Beverage Commission training session.  Alcohol servers must be familiar with and comply with TABC regulations.

I volunteered to be a Gatekeeper - waht do I do? 

The primary responsibility of a Gatekeeper is to ensure no one leaves the festival with alcohol. Many Gatekeepers are asked general questions about the festival, so familiarize yourself with the general layout, restroom locations, food and beverage areas and artist areas. Maps are available at kiosks and the Artist Hospitality Tent. 

What do I say to people unhappy about prices or requesting money back ? 

Please remind festival attendees that Art In The Square raises funds for charitable organizations all over North Texas.  ALL of the profits are donated to beneficiaries chosen by the Southlake Womens Club. The entire event is 100% organized and run by volunteers. No refunds.

What if no one replaces me for my shift?

Please contact one of the volunteer coordinators and they will send a replacement ASAP. Contact information will be provided when you check in.

For Beverage Sales: Do we accept cash only or are we accepting credit cards?

Only credit cards will be accepted for all sales  The credit cards are processed through a Clover reader. You will be given instructions on how to use the credit card reader..
